Discover how to swiftly add all members of your organization to your SharePoint Site through the convenient Everyone except external users group.

SharePoint Maven Inc has recently detailed how to make SharePoint sites accessible to everyone in your organization, such as HR Employee Sites or Intranet Homepage sites. A quick method has been revealed which enables the addition of all employees to your SharePoint site via the 'Everyone except external users' group.

When a person is added as a user in Office 365, or synchronized via Active Directory, they automatically become part of two built-in domain groups, called 'Everyone' and 'Everyone except external users'. These groups include all users, whether they are internal or external, regardless of their Office 365 license status.

'Everyone except external users' represents all internal users who were previously assigned your domain name during set up in Office 365. It does not matter whether the user has been granted an Office 365 license, they are a part of this group.

Important SharePoint Groupings

SharePoint previously had a group known as 'Everyone' that included both internal and external users. Once external content was shared via SharePoint, authenticated external users would become part of the 'Everyone' group. However, according to a recent announcement by Microsoft, this group has ceased to include all external users by default. Therefore, for this purpose, the 'Everyone' group has become irrelevant.

SharePoint Mavin Inc guides on how to add the 'Everyone except external users' domain group to a SharePoint site. They suggest that the domain group can either be directly added to a site with the correct permission level or inserted into the existing SharePoint group. They have provided a step-by-step guide for adding the domain group to your site.

To complete this process, the user must navigate to the Gear Icon > Site Settings. Under 'Users and Permissions', select 'Site permissions'. Then, click on the group where you want to add all members of your organization. Next, click on 'New' > 'Add Users'. Inside the Share window, start typing “Everyone”. As you type, two groups will appear, and you should choose “Everyone except external users”. Simply click 'Share' and the task is completed.

This newfound knowledge of managing internal and external users in SharePoint sites significantly streamlines the process and ensures access control doesn't pose a barrier to successful team collaboration within an organization.

Learn about How to quickly add all your employees to your SharePoint Site

The presented blog post discusses how to quickly add all your employees to your SharePoint Site, highlighting a quick process available through the

"Everyone except external users group". The author explains that in the process of adding an individual as a user in Office 365 or synchronizing them from your Active Directory, the users become part of two built-in domain groups: "Everyone" and "Everyone except external users". The user has no control over these groups or their membership – every single user by default ends up in these groups. Furthermore, they do not necessarily need to have an Office 365 license.

  • The "Everyone except external users" group includes all internal users who have been assigned your domain name when set up in Office 365. It also contains users who haven't been granted an Office 365 license.
  • The "Everyone" group used to include all internal and all external users. Anytime you shared your sites or content externally in SharePoint, authenticated external users would end up in the "Everyone" group. Usually, these users would be without your company’s Office 365 account.

However, due to a recent announcement by Microsoft, the "Everyone" group no longer includes all external users by default.

To learn more about this topic, you can delve into SharePoint, Active Directory, and Office 365 administrative training courses. Further understanding of the concept of External Sharing can be gained from the slide deck link provided.
