Configuring Search Verticals on a SharePoint Website: A Comprehensive Guide

Our article today concentrates on setting up Search Verticals on a SharePoint site. The search capabilities of modern SharePoint can be customized in several ways, one of which is adjusting Search Vertical settings.

But first, let's clarify - what exactly is a Search Vertical? Essentially, it's a subset of search results obtained when you explore something in SharePoint. You can filter these results into various types (Files, Sites, News, Images etc) by clicking on suitable tabs, similar to the way you filter Google search results.

These filter tabs, or Search Verticals, can be configured in two places – the SharePoint site itself, or at the Tenant (Global) Level. The process is almost identical for both. For instance, to modify a site-level Search Verticals, Site or Team Owners can follow easy step-by-step instructions. Changing Global Level Verticals however, requires modification within the Search & Intelligence Admin Center and one must be a global Microsoft 365 Administrator.

Procedure to Customize Search Verticals

When customizing SharePoint Online verticals, make sure you have the requisite permissions. On the SharePoint Site, click on the Gear Icon > Site Information, then click View all site settings and click Configure search settings under Microsoft Search. This shows you the default Microsoft Search Settings page where you can click Verticals Tab for Verticals optimization.

By default, all verticals are shown. You can disable them as necessary by double-clicking on a vertical, click on the Edit button, then click on the State toggle to disable the vertical. Click on the Update vertical button to save changes. Changes may take a few hours to reflect.

Alternatively, you could add a custom filter to the default vertical or decree a new custom search vertical. This requires knowledge of Keyword Query Language and Managed Properties, the application of which is a bit complex.

Creating a Custom Search Vertical

Creators must supply specific information to make a vertical - like the name of the Vertical (Tab). Choose the source of the content, specify a Keyword Query Language (KQL) query, and enable the vertical. The verticals configuration screen then displays the end result. To view the changes, search and click on the custom vertical Tab. This shows a search result based on your keyword and additional filter criteria, if applied.

Some important notes regarding customizing SharePoint site search verticals – default verticals/tabs (All, Files, Sites, News, Images) can only be disabled, not deleted. Only custom verticals/tabs created by the user can be deleted. Custom search verticals can be created in the Search & Intelligence Admin Center for global search results. However, this requires a Microsoft 365 Global Admin role.

The Utilities of SharePoint Search Verticals

SharePoint Search Verticals serve as a crucial tool for managing and streamlining search results. They help users to filter and sort the results according to various predefined categories. Whether it's segregating files from news or images, these verticals make searching hassle-free and convenient. If properly configured with versatile options, they can transform the way you use SharePoint and significantly enhance user experience.

Learn about How to configure Search Verticals on a SharePoint site

The ability to personalize search settings in modern platforms such as SharePoint has been previously discussed in several articles and blog posts. A fundamental part of this customization process is what is referred to as a Search Vertical. This blog post discusses what a search vertical is and how to configure one in SharePoint.

Search verticals are a component of the search results you receive when you search for something on SharePoint, which can be likened to Google's familiar search results layout. In other words, it's like filtering Google's bulk results into different types like News, Images, and Videos by clicking on the corresponding tabs under the search box. The same possibility exists in SharePoint.

SharePoint Search Verticals are represented as tabs that assist you in filtering your results according to various parameters. These can be critical in ensuring you acquire the most relevant categories of information you require, such as Files, Sites, News, or Images via appropriate tabs.

Personalizing these search settings can be achieved on two layers: the SharePoint Site and Tenant (Global) Level. The procedural steps for both are quite similar, and therefore, the process for configuring SharePoint Search verticals at the site level will be delved into in this post, suitable for Site or Team Owners.

Altering SharePoint Search Verticals at the global level requires modifying those verticals within the Search & Intelligence Admin Center. This process initially requires you to be a global Microsoft 365 Administrator.

Typically, SharePoint Sites contain default verticals. But there might be situations where you would need to customize these by disabling some, all of which can be accomplished following the series of steps shown in this guide.

Furthermore, there might be scenarios that would necessitate the development of a custom search vertical to filter for a specific type of results. With SharePoint Online, it's vital to be familiar with Keyword Query Language and Managed Properties which lends significant sophistication to the custom verticals that can be created.

For instance, creating a custom search vertical that only shows/results in the PDF file type and only comprises the word "blue" in the file name. The process of initiation is a bit technical and would require a series of procedural adherence to steps that range from accessing the Microsoft Search Settings screen, adding custom filters, and enabling verticals. The resultant effect is a custom-made vertical suitable for your personalized search needs.

Despite the flexibility and customization options offered by Search Verticals, it's worthy to note that default verticals/tabs (All, Files, Sites, News, Images) cannot be deleted, only disabled. You can only delete custom (new) verticals/tabs you create. Furthermore, a Microsoft 365 Global Admin role is required for custom vertical creation in Search & Intelligence Admin Center for global search results.

With these steps and knowledge base, the configuration of Search Verticals on a SharePoint site becomes achievable, creating a personalized search environment optimized for your preferred search results.
